Historic Rosemont Manor, an estate on 60+ acres in Berryville VA, is looking for a well-rounded individual to serve as full–time innkeeper for 12-room inn and various outbuilding accommodations. Must be willing to get hands dirty. Responsibilities include office administration, guest care, cooking and clean up, housekeeping, general and seasonal cleaning of other areas, gardening, light maintenance, event and functions support , and other assistance where needed. Must be dedicated to providing excellent customer service, motivated, articulate, flexible, and detailed oriented. The ability to prioritize tasks/work with little supervision is essential. Computer proficiency necessary. Will assist other Rosemont employees and independent contractors when necessary. Work week is typically Thurs Noon through Tuesday Noon, but at the discretion of the General Manager may be assigned different days or varying hours depending on workload. Innkeeper required to remain on property overnight. National holidays are work days unless occurring on a scheduled day off. Pay commensurate with experience. A Narrative
As the full-time Innkeeper you will wear many hats and be responsible for many tasks. If you do not do them, they will not get done. Many of the tasks are ordinary and mundane. Some of the tasks can be exhilarating if you are a people person. As Historic Rosemont Manor evolves, so will you in your innkeeper position. The responsibilities of the position will shape you, but not as much as your personality, drive and passion will shape the position. After six months to a year, you will be the one most familiar with the true duties of the innkeeper for this unique property, and will be in the position to rewrite this narrative for those who follow in your footsteps.
The Face of Rosemont. As the Innkeeper you are the face of Rosemont to our guests, and to the communities of the Town of Berryville, Clarke County, and the City of Winchester.
You are our guests’ first contact on the telephone, the first e-mail message they receive, and the first smile to greet them at the front door. Your ability to identify with our guests and to create for them a memorable experience will have a direct impact on the success of Rosemont as a whole. You will follow a guest from initial contact, to confirming their reservation, to greeting them on the arrival day, to offering them a personalized tour of the manor and its amenities, to explaining to them any house rules, to making dinner reservations for them, to tending to all or at least most of the guests’ needs during their stay at the Manor, and ultimately to checking out the guests and soliciting comments about their experience. It cannot be stressed enough that your personality and presence are equally as important as your administrative, housekeeping and cooking skills.
Telephone Duties. The reality of the position dictates spending a substantial amount of time on the telephone. Although a web-based reservation system will be used by most potential guests, many guests will want to talk to a human voice to make reservations and to ask questions about Rosemont and the surrounding area, the guest experience at the manor, and the tourist sites and activities that are available in the local area. As such, you will need to learn a great deal about the history of Rosemont and what Berryville, Clarke County, Winchester, and the entire northern Shenandoah Valley has to offer our guests.
Business and Financial Administration. You will maintain the Rosemont business office located on the first floor, SE corner of the south wing. You will collect confirmation deposits, send confirmation letters and information, assemble weekly deposit slips for the General Manager, prepare weekly arrivals reports, prepare monthly income summaries and maintain a database of guests to use for mass mailings or special event invitations. You will need to study and become proficient with theQuickBooks 2010 software package, which will be provided to you.
Operations Manager. As the Innkeeper you are an operations manager. You will oversee all of the daily work at the Manor, and you will be asked to verify the work done by other employees which are hired from time to time to assist you during peak workloads. Ensuring that housekeeping and the grounds & maintenance tasks are completed will be your responsibility, and you will work with the General Manager or his designee to develop a system of checklists to remind you and others of all items that need to be tended to on a daily basis. The appearance and cleanliness of each bedroom, the public areas, and the grounds will be your direct responsibility. You will also manage vendor interactions such as food and supply deliveries, laundry services, home heating services, maintenance contracts, and lawn services.
Initially, the General Manager or his designee will fill in for you on your days off. However, one of the first tasks on your agenda will be to find and train your “replacement.” One or two additional part-time assistant innkeepers will need to be readily available to step in for you during days off, vacation, sickness, or family emergencies.
Kitchen Duties. You will fill the role of daily kitchen manager and develop a kitchen inventory and cleaning checklist. Then it will be your direct responsibility to ensure the kitchen is always stocked properly and is compliant with local health department codes. The cleanliness of the kitchen as a whole is also your responsibility.
As the daily cook, you will prepare guests’ breakfasts, and depending on guest load, also serve and clean up breakfast. If the guest load exceeds eight people you are encouraged to coordinate assistance with others, in this case your assistant innkeeper, to serve and clean. You will, however, still be responsible for the presentation and quality of the food, the service provided by others, and the general contentment of the guests.
You will also prepare amenity trays such as cheeseboards, fruit platters, tea trays and other in-room snacks on an as needed basis. On Saturday nights or other nights as determined by the General Manager or his designee, you will prepare and host a happy hour. When larger groups or special events require meal service at the manor, you will work with the Catering Manager to assist in the preparation, presentation and service of the food provided. Additionally, you will ensure that coffee, tea and soft drinks are available upon guest arrival in the sun room and/or the paneled “den” (dining room), and that the breakfast area is always immaculately set and ready to receive guests.
Housekeeping. As the Innkeeper you will be doing housekeeping. You will do anything necessary to ensure rooms are clean and well prepared for guest arrival, including changing sheets, cleaning bathrooms, vacuuming, dusting, mopping, sweeping, laundry and ironing. You will also be responsible for maintaining all table linens and napkins and for noting any replacement linens that need to be purchased. Occasionally you will be asked to assist with light gardening, holiday decorating or other tasks as required by the General Manager or his designee.
Public Relations Director. In reality, your biggest job is Public Relations Director. Everything you do should be to guarantee that the guest experience is top notch and exceeds expectations. Historic Rosemont Manor intends to be among the best B&Bs, country inns and wedding event centers in the greater DC and Northern Virginia areas, and you are an important part of the team that will make this a reality. When all of our guests leave contented, they will not only come back to Rosemont but will also communicate their experience to their friends, family and coworkers. However, since some people don’t return to the same B&B or inn twice—because they like new experiences each time—you are also tasked to bring new guests into the manor. Your telephone manners, your interaction with guests upon their arrival, your level of service and generosity of spirit, your ability to make Rosemont attractive and desirable, and the many personal touches you extend toward our special guests—all will impact the perception that each guest will leave with. And the level of favorable perceptions they have will directly correlate to Rosemont’s success.
